Code of Conduct

The Valley Outdoor Association is dedicated to the enjoyment of outdoor activities. Maintaining an atmosphere of mutual respect and trust among our members and the volunteer organizers is key to ensuring everyone is able to enjoy our outings to the fullest. To help support this, the Club has a Code of Conduct, procedures for addressing issues, and sanctions for members who do not respect the rights of others.

Concerns regarding the Club’s Code of Conduct and its observance should be reported to any member of the VOA's Executive and they will endeavour to respond with the utmost confidentiality.

Privacy Policy

The Valley Outdoor Association (VOA) recognizes that an individual’s right to privacy is an essential right to be protected. We understand the importance in protecting personal information in our care and control.

Waivers Policy

  • Must be signed by all participants (including guests) prior to the start of club activities. Note: this is a requirement for the FMCBC liability insurance.
  • Must be signed when joining the VOA or renewing membership (part of the on-line membership system).
  • Must be retained for a period of three months.
  • Must be properly disposed of when no longer required e.g. shredded.

Membership Policy

  • Any adult individual (19 years of age and older) interested in the activities of the VOA may be accepted as a member on application and payment of annual dues.

  • $40 for a Single membership.

Minors Policy

Minors are not allowed on club activities where a waiver is required. Note: that minors cannot sign liability waivers. 

Guests Policy

Guests are allowed to attend a maximum of three single day activities. They are not allowed on multi-day activities. 

Pets Policy

Pets, including dogs, are not allowed on club activities.

Bike Helmets Policy

Bike helmets are required on all cycling activities. 

ebikes Policy

Only Class 1 ebikes (as defined by the B.C. Government) are allowed. 

Life Jacket Policy

Life jackets or Personal Flotation Devices (PFD) are required on all paddling activities. 

Scheduling of Work Parties Policy

Work parties should be scheduled for Sundays. Hikes will not be scheduled for days on which work parties are scheduled. Cycling can be scheduled on the same day as work parties. 

Trip Leaders Policy

Have the right to refuse a participant for reasons such as they don’t meet the required skill level, inadequate equipment, etc. 

Trip Deposits Policy

When paying a deposit for a future trip, members are to consider their deposit non-refundable. If a suitable replacement can be identified the deposit may be returned but return of deposit is not guaranteed and should not be expected.

Past President Policy

The person who will be named to the Executive as the Past President and their term will be at the discretion of the Executive.

Sale of Personal Items Policy

Members can post items for sale on the VOA’s Facebook page if they relate to club activities. The VOA website or VOA email systems cannot be used for the sale of personal items.

Donations Policy

The VOA will donate an amount (to be determined by the membership) annually to one of three search and rescue (SAR) organizations on a rotating basis.

Covid-19 Policy

When having indoor activities VOA members will follow all Provincial Public Health Officer and facility Covid-19 requirements.  Members are encouraged to follow good public health protocols when interacting with other members and the public. Should any member have any concerns when in a group setting, they are encouraged to respectively have a private conversation with any executive member regarding their concerns.
